WEBSITE PRIVACY NOTICE | VERSION 1.0

    Website Privacy Notice

    Sports Massage & Movement   •   onformmovement.co.uk   •   24 October 2026

    What this notice covers

This notice explains how ON-FORM handles personal information collected when you browse our website, contact us or subscribe to our mailing list. If you become a client, please also read our separate Client Privacy Notice, which explains how treatment and health records are handled.

    Who looks after your information

ON-FORM is the shared trading brand of two independent practitioners. They jointly manage ON-FORM-wide website enquiries and newsletter information where appropriate. Email tom@onformmovement.co.uk or lyd@onformmovement.co.uk with a privacy question. The legal identities of the data controllers are set out in the accompanying Client Privacy Notice, available via the Client Privacy Notice linked alongside this page. Clinical client records are handled separately by the treating practitioner.

    Information we collect and why

When you send an enquiry, we may receive your name, contact details and message so we can respond and, if relevant, discuss booking a service. When you subscribe, we collect your email address, preferences and a record of how and when you opted in or unsubscribed. Our host may collect limited technical information about website use. Please avoid sending detailed medical information through general website forms; contact your practitioner directly for clinical matters.

    Our lawful bases

We ordinarily rely on legitimate interests (UK GDPR Article 6(1)(f)) to respond to general enquiries and operate and secure the website; steps before a contract (Article 6(1)(b)) where an enquiry relates to arranging services; and consent (Article 6(1)(a)) for optional newsletter emails and non-essential cookies where consent is required. You can withdraw marketing or cookie consent at any time. We do not use health or treatment records to target marketing.

    Newsletter and events

You will only receive ON-FORM news, practical content, workshop or event announcements and service updates if you have actively opted in, for example through an unticked checkbox on our website or intake form. Signing up is optional and does not affect treatment. We record consent choices and include an unsubscribe option in marketing emails. Either ON-FORM practitioner may access mailing-list information for shared communications. We do not automatically add clients to the list.

    Squarespace and cookies

Our website is hosted by Squarespace. Essential cookies and similar technologies support its operation and security. Non-essential Squarespace cookies are set to Restricted; visitors may accept, decline or manage optional cookies through the cookie controls. A Cookie Preferences control lets visitors revisit their choices. Optional cookies may support analytics. Squarespace may process limited visitor activity or technical information in providing its services.

Who information may be shared with

We use providers for website hosting, forms, email and any mailing-list service we select. We may share an enquiry with the appropriate ON-FORM practitioner. We do not sell mailing-list information. Providers may process information outside the UK; where UK data protection transfer rules apply, appropriate safeguards or another permitted mechanism will be used. Contact us for details relevant to your information.

    Retention and your choices

Website enquiries are kept only as long as reasonably needed to respond and manage any resulting service. Mailing-list contact details are held while you remain subscribed; after unsubscribe we may keep a minimal suppression record and consent history so we can respect your preference and demonstrate compliance. You can unsubscribe using any marketing email and change cookie choices via Cookie Preferences.

    Your rights and complaints

Depending on the circumstances, you may ask to access, correct or erase personal information, restrict or object to its use, or request data portability. Where we rely on consent, you may withdraw it without affecting earlier lawful use. Email either address above. You may also complain to the Information Commissioner’s Office at ico.org.uk. We do not use solely automated decision-making with legal or similarly significant effects.

    Updates

We will update this notice if our website tools or handling of personal information changes. If you book a treatment or coaching service, refer also to the Client Privacy Notice.
